How to Access Heidelberg Materials Pay Stubs & W2s

Accessing Paperless Employee Self-Service Account

Heidelberg Materials employees can access pay stubs, W-2 forms, and other payroll-related data using the Paperless Employee portal. Your net pay will be deposited into your bank account or loaded onto your payroll card on payday. Pay stubs are available in the Paperless Employee Portal on the evening before payday. To access W-2 forms, employees must consent to receive them online; otherwise, paper copies are postmarked during the last week of January.

How to Create Your Account

To create your Paperless Employee account, follow these steps:

  • Visit the Website: Go to https://www.paperlessemployee.com/heidelbergmaterialsusa.
  • Click Create Account: Snap the Create Account button on the right-hand side of the screen.
  • Enter Your Details: Enter your Employee ID (provided by Heidelberg Materials), Social Security Number, and Date of Birth. Click Authenticate & Create Account.
  • Complete Registration: Fill in the required fields and create a User ID and Password. You will need to verify your identity by receiving a code via a contact method that Heidelberg Materials has on file before clicking Save and Continue.
  • Add Security Questions: Set up security questions and answers, then click Save Security Questions.
  • Verify Your Email: Enter your primary email address and click Verify Email. Optionally, add an alternate email address or cell phone number. You must verify your email to access your account.
  • Select Notification Options: Choose your electronic statement notification preferences and click Save Notification Option Settings.
  • Account Creation Confirmation: Once your account is created, you will get an approval email sent to the email address provided.

How to Access Pay Statements

You can access both full pay statements and pay statement summaries using Paperless Employee. Here’s how:

  • Navigate to Pay Statements: Log in to the Paperless Employee portal, then click Pay Statements in the left-side navigation or Access Pay Statements on the home page.
  • Select Pay Statement: Check the box next to the desired pay statement(s) under the Full Statement column.
  • View or Print: Click the View/Print Selected Pay Statements button. The selected pay statement will open in a new tab as a PDF, which can be viewed, printed, or saved as needed. Ensure you have a PDF reader installed. If needed, click on the Get Adobe Reader icon on the left side of the screen to download it.

How to Access W2s Electronically

Year-end tax statements (W2s) are available once Heidelberg Materials releases them. Employees must register for electronic delivery to access W2s online.

Registering for Electronic Tax Statement Delivery

If you didn’t register for electronic tax statement delivery when creating your account, follow these steps:

  • Manage Tax Statement Options: Click Manage Electronic Tax Statement Options on the home page.
  • Select Electronic Statement Notification: Scroll to the Electronic Statement Notification Options section and click Yes next to the question regarding electronic tax statements. Choose your preferred contact method to receive notifications when your tax statement is available.
  • Save Changes: Click Save Notification Option Settings. Once registered for electronic delivery, your preference will apply to future years.

  • Navigate to Year-End Tax Statements: Log in to Paperless Employee, then click Year-End Tax Statements in the left-side navigation or Access Current Year-End Statements on the home page.
  • Select Statement: Check the box next to the current year’s tax statement(s).
  • Download Form: Click Review & Complete Order to download the form.

Accessing Past W2s

  • Navigate to Prior Year Statements: Click Year-End Tax Statements in the left-side navigation or Access Prior Year-End Statements on the home page.
  • Select Statement: Check the box next to the desired year’s tax statement(s).
  • Download Form: Click Review & Complete Order to download the form.
